Functions


Master data

image:customers Customers and devices can be taken from a database. Your team manages customers, devices, and contracts in an app. Your technicians need the master data for customer visits and the documentation of service activities.

Service orders

image:appointment Your service orders contain all relevant information about the customer, device and appointment with just a few clicks. Automatically generated reminders for the next service activities help your team plan new service appointments.

Service activities

image:checklist Your technicians scan the customer inventory using a barcode, QR code or NFC tag, or they use the information from a service order. This means that the customer and device data is pre-populated for the service activity and your technicians only record the results.

Service reports

image:document For each service activity, a service report (PDF file) is automatically created when requested. The team is notified of new service documents by email and reviews them. Incorrect data is corrected. If everything is correct, the service report must be approved.

Reporting

image:chart A script regularly updates the Excel-based Pivot reports. This gives you a dashboard, a list of visited customers and a technician schedule. A Power BI report can be included also.

Products and services used for operation


pobvol Service Solution

Microsoft PowerShell with the open-source component PnP PowerShell is used for the installation of the solution, for data backups, and for data migration. PowerShell is included in Microsoft Windows. No additional licensing costs are incurred.

Microsoft Access is used by the PC component of the automation solution. Queries retrieve data for the solution from Excel and databases into your SharePoint lists.

The PC component of the solution uses Microsoft Excel lists to import data for the solution. The pivot report for your monitoring is also created using Excel.

Microsoft OneDrive is used by the PC component of the automation solution. The tool synchronizes files between the PC component and your team's SharePoint library. OneDrive is included in Microsoft 365 Business Basic.

Two Microsoft Power Apps applications are the most important part of the solution. With the Power App pssService Board, your team manages its service data and monitors service activities and reports. The Power App pssService Phone is used by your technicians to document service processes on Apple iPhones and Android smartphones. Power Apps is included in Microsoft 365 Business Basic.

Microsoft Power Automate - Flows are used for automation. Power Automate is included in Microsoft 365 Business Basic.

Your data is stored in your Microsoft 365 SharePoint environment. This gives you full control over your data and allows you to manage access. I chose SharePoint to keep your licensing costs as low as possible. SharePoint is included in Microsoft 365 Business Basic. The limitations of this technology may require a transition to another storage solution (e.g., Microsoft SQL) with higher data volumes. This is not part of the solution but can be achieved through an implementation order!

For customers in Germany, Microsoft provides cloud services from Germany. Your business data is stored in Germany in compliance with GDPR - demonstrably secure data storage in German data centers.

Microsoft 365 Outlook: Appointments are saved in a shared Outlook calendar. From here, invitations are sent to your team and, if desired, also to your customers. Outlook is included in Microsoft 365 Business Basic.

If Microsoft Power BI reports are to be used, you need a Power BI Pro license or higher from Microsoft, which allows you to create, customize, and publish Power BI reports.

You can use Microsoft Teams on PCs/Macs and mobile devices to access documents in your SharePoint library. Power Apps applications can also be launched in Teams. Teams is included in Microsoft 365 Business Basic.

Microsoft Edge: When you create a Power Apps application or someone shares an application with you, you can run it in a web browser. Edge can be used on PCs/Macs and mobile devices to run the Power Apps application.

Microsoft Outlook Mobile can be used on PCs/Macs as well as mobile devices to enable communication via email. Outlook is included in Microsoft 365 Business Basic.
